Job Title: Administrative Assistant

Description: PaleoWest Archaeology is a solution driven archaeological consulting firm that prides itself on employing the best professionals in the industry. The Walnut Creek, California office seeks a dynamic, well-organized, self-starter for the position of Administrative Assistant to join our growing company. You will be empowered to grow, take charge, and make an impact in our growing business. This is a full-time hourly position with benefits including medical, dental, vision, 401K and more.

The person will work closely with all team members and support the company’s needs. Duties include:


·         Answering phones and taking messages as needed

·         Maintain office organization and cleanliness; maintain office supply stock and equipment

·         Scan and copy invoices, receipts, timesheets, and various documentsEdit and format reports, resumes, and documents using MS Word, MS Excel, and Adobe Acrobat Pro

·         Distribute and send mail using USPS and FedEx

·         Keep track of staff birthdays and plan celebrations

·         Handle correspondence with vendors, landlord, etc. and schedule janitorial service

       HR Support

·         Provide timesheet, reimbursement and payroll support to temporary employees or supervisors when needed

·         Research, contact, and schedule potential applicants for hire

·         Onboard new hires, assist with new hire paperwork, order new phones and equipment as needed

 Project Support

·         Assemble Health and Safety Plans for projects as needed, specifying the job hazards and location of nearest hospital and clinic

·         Help project managers locate reports with information relevant to project, assist with report production and editing

·         Reach out to clients and vendors on behalf of PM

        Vehicle Support

·         Manage and maintain a small vehicle fleet by keeping updated registration in vehicles, creating/checking vehicle mileage log, and taking vehicles to the mechanic or car wash as needed

     Skills Required:

Strong computer skills, including Proficiency in Microsoft office suite; Strong ability to learn various other software programs including Adobe Acrobat Pro and FileMaker Go.
Independent problem solver
Excellent oral and written communication skills
 Able to handle multiple priorities and simultaneous deadlines
Must have valid drivers’ license and able to run errands as needed
 Able to lift and move boxes/equipment as needed
